Privacy Policy
This policy explains what personal data CLIP Learn collects, why, and the rights you have over it. CLIP Learn is operated by CLIP — Chancery Lane Institute For Professionals (Dubai Knowledge Park, UAE) (“CLIP”, “we”). We process personal data in line with the UAE Personal Data Protection Law (PDPL) and, where it applies, the EU/UK GDPR.
The data we collect
- Account data — your name, email address and, where you provide it, your organisation and phone number.
- Learning data — your course progress, practice and mock-exam answers, written submissions, mastery scores and exam plans.
- AI trainer conversations — the messages you exchange with MOEgent, so it can help you and pick up where you left off.
- Support & communications — questions you escalate to the CLIP team and our replies.
- Usage & device data — basic analytics such as pages visited, referrer, approximate location, browser and screen size, used to keep the service secure and improve it.
Why we process it
To deliver your training and qualification support, to personalise your AI trainer, to administer your account and any corporate sponsorship, to keep the platform secure, and to meet our legal and regulatory obligations. Our lawful bases are performance of our contract with you, your consent (where asked), and our legitimate interests in running and improving a secure service.
Sharing & hosting
Your data is hosted on UAE infrastructure. If your place is funded by an employer or sponsor, we share aggregate progress and readiness with that sponsor — never your individual course answers or AI-trainer conversations. We use a small number of processors (hosting, messaging and AI inference) under contract; we do not sell your data.
Retention
We keep your account and learning records for as long as your account is active and for a reasonable period afterwards to support re-sits, certificates and our records, then delete or anonymise them.
Mocks and finals: how your answers are used
What we note while you sit. When you start and finish; when your answers save; when you switch to another tab or app, and for how long; on a tablet, when you open another app beside the mock; when you paste, and how much (never what); when your connection drops and comes back; if your mock moves to another device; and the internet (IP) address, device and browser you sit on. If a keycode is entered wrongly, we keep the IP address it came from. If your trainer has agreed extra time or rest breaks for you, we record that, with a reason chosen from a short list and never medical details; only your trainer and named CLIP staff see it. If you use a screen reader, dictation or other assistive technology and your trainer knows, they may note that for staff, so that the record of your typing and pasting isn’t misread. If your trainer adds time, pauses or ends your mock, we note when and why. Only your trainer and named CLIP staff see these. We don’t use your camera or microphone.
How your answers are marked. Multiple-choice answers are marked against the answer key your trainer set. For written answers, we use an AI marking tool. It compares your answer with the mark scheme and the course lesson, and shows your trainer which parts of your answer match each point. In mocks, you may see its initial feedback straight away, labelled “Initial feedback — your trainer will confirm your mark”. Your trainer then reads every written answer in full and decides the mark you keep; in finals, you only ever see your trainer’s mark. The tool also gives staff an estimate of how likely an answer is to have been written with AI. That estimate is only one fact among several, is never used on its own, and never changes your mark by itself.
Who sees what. Your trainer and CLIP’s staff see your answers, your marks and the notes above. If your employer pays for your place, they see your best rehearsal percentage — never your questions, your answers or the notes.
How long we keep it. We keep your answers, marks and the notes above — including any extra time, rest breaks, adjustments you asked for and any assistive-technology note — for as long as the mock attempt is kept, and guests’ names and emails with them. If you have a CLIP account, they stay in your study record until your account is deleted. You can ask us to delete your mock records at any time by contacting your trainer or us.
